Label Management
Labels are the core tool for organizing your Notion knowledge base. The ETN template includes a dedicated Labels database where you can design your label system, then sync to ETN for use.

1. Label System Overview
What are Labels
Labels are category tags added to clipped content, used for:
- Categorizing content by topic (e.g., "Tech/Frontend", "Life/Travel")
- Quick filtering in Notion by labels
- Building a hierarchical knowledge system
Where Labels are Stored
The ETN template includes a dedicated Labels database for managing labels. All your labels are stored in this database and connected to your clipping database via Relations.
Benefits of this design:
- Labels can have their own properties (color, description, sort order)
- Easy to manage and edit centrally in Notion
- Supports flexible label system design
Custom Databases
If you're using a custom database instead of the ETN template, as long as the database has Select or Multi-select type fields, ETN can sync these options as labels.
Multi-Level Labels
ETN supports up to 4 levels of hierarchy, using / as separator:

ETN recognizes the / path naming and provides hierarchical filtering.
2. Design Your Label System
Recommended workflow: Design labels in the Notion Labels database first, then sync to ETN.
Step 1: Plan Your Label Structure
Before starting, spend a few minutes thinking about your content classification needs.

Step 2: Create Labels in the Labels Database
- Open the Labels database in your ETN template
- Click "New" to add a new label
- Enter the label name
ETN automatically recognizes the hierarchy when syncing.
Step 3: Sync to ETN
After creating labels, sync them in ETN to start using (see next section).
Label Design Tips
| Tip | Description |
|---|---|
| Keep it concise | 2-4 words, e.g., "Frontend" not "Frontend Development Technology" |
| Consistent style | All Chinese or all English, stay consistent |
| Avoid duplicates | Don't create labels with similar meanings |
| Moderate depth | 2-3 levels is enough, too deep becomes hard to manage |
Recommended Label Count

| Large knowledge base | 100-200 labels |
Too many labels increase selection overhead. Keep within reasonable limits.
3. Sync Labels
Sync from Notion to ETN
After designing labels in the Notion Labels database, sync them to ETN to use.
Mini Program
Personal center → Database Config → Click "Sync Labels"
Chrome Extension
Settings → Notion Connection → Click "Sync Labels"
After syncing, all labels you created in Notion will appear in ETN's label selection list.
Sync from ETN to Notion
Labels created in ETN are automatically synced on first use to your Notion Labels database.
If you create a new label while clipping in ETN, it's automatically added to your Notion Labels database — no manual sync needed.
Sync Scope
- Sync only includes labels associated with your currently configured Notion database
- Different databases have independent labels
- After switching databases, you need to sync labels again
4. Use Labels
Select Labels When Clipping
Mini Program
- On "Parse Details" page, tap "Select Existing"
- Pick labels from dropdown (search supported)
- Can select multiple labels
- Tap confirm
Chrome Extension
- In the label area of clip panel
- Click label pills to toggle selection (highlighted = selected)
- Multi-select supported
Create New Labels When Clipping
If the label you need doesn't exist, create it directly while clipping:
Mini Program
- In the labels section, tap "Create New"
- Enter label name (supports multi-level with
/) - Tap "OK"
Chrome Extension
- Click "+ New" button
- Enter label name
- Press Enter to confirm
When entering A/B/C, if A and A/B don't exist, the system automatically creates the entire path.
Add Labels During Batch Clipping
During batch clipping (Xiaohongshu/Weibo):
- After collection completes, in the popup list
- Click "Batch Labels" button
- Select labels to add
- Click "Apply" — labels added to all selected content
5. Manage Labels
Access Label Management
Mini Program → Personal center → Label Management
Page has two sections:
- Active Labels: Currently usable labels
- Archived Labels: Labels that have been archived
Search Labels
Enter keywords in search box to filter label list in real-time.
Archive Labels
Hide infrequently used labels temporarily to reduce clutter when selecting.
Steps:
- In "Active Labels" section, tap "Edit"
- Tap labels to archive (multi-select, selected labels highlight)
- Tap "Archive" button
- After confirming, selected labels move to "Archived Labels" section
After archiving:
- Label no longer appears in selection list during clipping
- Historical content using this label is unaffected
- Label data is preserved, can be restored anytime
Restore Labels
Restore archived labels back to active status.
Steps:
- In "Archived Labels" section, tap "Edit"
- Tap labels to restore (multi-select)
- Tap "Restore" button
- Labels return to "Active Labels" section
Rename Labels
Modify the label name in your Notion Labels database, then click "Sync Labels" in ETN.
Delete Labels
Delete the corresponding label record in your Notion Labels database, then click "Sync Labels" in ETN.
ETN doesn't support direct label deletion. All label additions, edits, and deletions should be done in Notion, then synced.
6. FAQ
Q: Why is it recommended to design labels in Notion?
A: Because the ETN template includes a dedicated Labels database. Designing in Notion lets you:
- See the complete label list
- Easily batch edit and adjust
- Use Notion's view features to manage labels
Q: I'm using a custom database without a Labels database. What do I do?
A: Custom databases with Select or Multi-select type fields can have their options synced as labels in ETN. Just map that field as the label field in database configuration.
Q: Can labels be renamed?
A: Yes. Modify label names in your Notion Labels database, then sync labels in ETN.
Q: What happens to content when a label is deleted?
A: After deleting a label in Notion, content using that label retains the relation, but the label is no longer selectable.
Q: Are labels independent per account?
A: Yes. Each ETN account's labels are linked to your bound Notion database. Different accounts/databases have independent labels.
Q: Why don't I see new labels after syncing?
A: Check these points:
- Is the new label in the correct Notion Labels database
- Is the label field properly mapped in database config
- Try clicking "Sync Labels" again
Q: How do multi-level labels display in Notion?
A: Multi-level labels are stored as records in the Labels database with the full path as the title (e.g., "Tech/Frontend/React").
Q: Can I modify labels on already clipped content?
A: Yes, directly in Notion. Open the page and edit the label field.
Q: What's the difference between archiving and deleting?
A:
- Archive: Label is temporarily hidden in ETN, can be restored anytime, Notion is unaffected
- Delete: Label is removed from Notion database, cannot be recovered
Recommend using archive feature first, unless you're certain a label is no longer needed.
